FAQ: Customer Contact List Report
Quick answers to common questions about generating, filtering, and using the customer list.
Why is a customer not appearing in the report?
Check customer status: inactive or archived customers may not appear by default. Use the status filter to include archived customers if needed.
Verify data entry: ensure the customer was created in Contacts → Customers. Contact records not linked to the customer module will not appear in this report.
Can I print address labels directly from this report?
Yes. When printing, select the Labels for Mailing print template. This will format the output for standard mailing label sheets (e.g., Avery 5160).
How do I update a customer's contact information?
The Customer Contact List report is read-only. To update customer information, go to Contacts → Customers, find the customer, and edit their record. Open in Usystems
Changes you make will appear in the next generated report.
Can I send bulk emails to customers from this report?
Not directly from the report. However, you can export the report as CSV and import it into an email marketing tool (e.g., Mailchimp, Google Workspace). Make sure to select Include Labels when exporting so the CSV has column headers.
Why are some customer names spelled differently?
Customer names appear exactly as entered in the system. If a customer name was misspelled during creation, it will appear that way in the report. To correct it, edit the customer record in Contacts → Customers.
What does a blank email or phone field mean?
It means the customer record does not have that information on file. You should contact that customer to obtain their missing contact details and update their record.
Can I export the report in other languages?
The column headers and structure will reflect the language of your Usystems interface. Customer names, addresses, and other custom data appear exactly as entered. If you need labels in a different language, you can manually translate them in Excel after export.
How often should I run this report?
That depends on your business needs. Run it whenever you need to:
- Verify customer contact information before a marketing campaign.
- Provide an updated customer directory to your sales team.
- Audit data completeness (ensure all customers have email and phone).
- Reconcile customer records with an external list.
Can I filter by customers who made a purchase in the last 90 days?
The Customer Contact List report does not filter by purchase activity. To see recently active customers, use other reports such as Sales by Customer or Invoice reports, which show purchase history. You can then cross-reference those names with this contact list.
