Quick answers to common questions about running, reading, and using the Invoice Detail report.
Q: Why does my Invoice Detail report show fewer rows than I expect?
A: The most common reason is that your filters are too narrow. Check:
- Date range: Are all your invoices within the selected dates? If an invoice is from last month and you filtered for this month, it won't appear.
- Invoice status: If you filtered by "Posted," draft invoices are hidden. Change to "All" to see drafts.
- Customer or product filter: If you selected a specific customer or product, only invoices containing that customer/product will show.
Remove filters one by one to see which one is hiding your data.
Q: Can I combine multiple filters at once?
A: Yes. You can use Date Range + Customer + Product + Status together. The report shows only rows that match all selected filters. For example: invoices from customer "ABC Co." in June 2026 for product "Widget A" (Posted status only).
Q: Does the Invoice Detail report include draft invoices?
A: By default, no. Only Posted (finalized) invoices are included. If you want to see draft invoices, change the Invoice Status filter from "Posted" to "All Statuses" or "Draft."
Q: How do I find a specific invoice in the report?
A: Use the Invoice Number filter or sorting:
- If you know the invoice number, use the search/filter box and type the number (e.g., "INV-2026-1234").
- Or, click the Invoice Number column header to sort, then scroll to find it.
Q: What does "Discount" mean in this report?
A: The Discount column shows any line-level discount applied to that item. It can be:
- A fixed amount (e.g., $10 off)
- A percentage (e.g., 10% off)
- Zero if no discount was applied
The Net Amount column already includes the discount, so you don't need to subtract it manually.
Q: Can I add more columns to the report?
A: Most column choices are fixed per product setup. However, you can:
- Sort by any column: Click the column header to reorder rows.
- Export to Excel and add your own columns there.
- Ask your admin if additional columns can be enabled for your reports.
Q: Why is the "Tax" column blank for some rows?
A: Tax is only shown if it was configured for that product or if a tax rate was applied to the invoice. If a product is tax-exempt or the tax rate is 0%, the Tax column will be blank or show 0.
Q: How do I print the report so it fits on one page?
A: When printing:
- Click Print on the report page.
- In the print dialog, select Landscape orientation (wider format).
- Reduce the margin size to "None" or "Minimal."
- Uncheck "Headers and Footers" if they are taking up space.
- Preview before printing to ensure all columns fit.
