Exporting and printing the Paid vs Unpaid Invoices report

Save the report as a file or print a paper copy for sharing and record-keeping.

Once you have generated the Paid vs Unpaid Invoices report, you can export it to a spreadsheet file or print it for your records or to share with stakeholders.

Before you start

  • Have the Paid vs Unpaid Invoices report open on your screen.
  • Apply any filters you need before exporting (the exported file will include only the filtered data).
  • Ensure you have permission to export reports.

Steps to export

  1. Open the Paid vs Unpaid Invoices report. Open in Usystems

  2. Apply any filters to narrow down the data if needed (see Filters and options in the Paid vs Unpaid Invoices report).

  3. Look for the Export button near the top of the report.

  4. Choose your file format. The system typically offers:

    • Excel (.xlsx) — for use in spreadsheet software; allows editing and further analysis
    • CSV (.csv) — for importing into other systems
    • PDF — for printing or sharing as a document
  5. Click the export button. The file will be downloaded to your computer.

Steps to print

  1. Open the Paid vs Unpaid Invoices report. Open in Usystems

  2. Apply filters as needed.

  3. Look for the Print button or choose the print option from your browser menu.

  4. Review the print preview on your screen.

  5. Click Print and select your printer. The report will print with all current filters applied.

Tips & common mistakes

  • Filter before exporting. If you only want unpaid invoices or invoices from a specific date range or customer, apply those filters first. The exported file will contain only what you see on screen.
  • Choose the right format. Use Excel if you plan to edit or analyze the data further. Use PDF if you want a final, uneditable record. Use CSV if you plan to import into another system.
  • The exported file reflects your current view. The file contains only the columns and rows currently visible, filtered according to your settings.
  • Name your file descriptively. When saving the exported file, use a name that includes the date range and filter criteria (e.g., "Invoices_Unpaid_June2026.xlsx").
  • Protect sensitive data. If the report contains customer credit information, be careful when sharing electronically.
