Reading and interpreting the Sales by Customer report

Understand what each column and metric means, and how to use the data to make business decisions.

The Sales by Customer report is organized as a table where each row represents one customer, and each column tells you something about their sales activity. Here's what you're looking at and why it matters.

What the report shows

Customer Name / Code: The name or reference ID of the customer. Click it to view the customer's full contact record.

Total Sales Revenue: The sum of all sales (invoices) for that customer during the report period. This is shown in your business's standard currency.

Number of Transactions: How many separate sales documents (invoices, sales receipts, sales orders) were issued to this customer.

Average Sale Amount: Total revenue divided by the number of transactions. This tells you whether the customer buys in large batches or small frequent purchases.

Items Sold: The total quantity of items (units, pieces, or other units of measure) that went to this customer.

Last Sale Date: The most recent transaction date. Useful for spotting inactive or lapsed customers.

Payment Status (if included): Shows how much of the revenue is paid, unpaid, or partially paid.

How to use this information

Identify top customers: Sort by Total Sales Revenue (descending) to see which customers contribute the most to your business.

Spot trends: Compare two reports from different periods. If a top customer's sales have dropped, it may warrant a check-in.

Understand customer behavior: Low transaction count with high total revenue suggests bulk buyers; high transaction count with moderate revenue suggests frequent small-amount buyers. Use this to tailor your sales strategy.

Monitor payment health: If Payment Status is shown, watch for customers with large unpaid amounts. They may need a payment reminder or credit review.

Segment for marketing: Export the report and use it to identify customers for special offers, loyalty programs, or targeted outreach.
