Running the Sales by Item Breakdown report
Generate a detailed breakdown of sales by product or service to see which items drive your revenue.
The Sales by Item Breakdown report shows every item sold, one row per product or service, with its quantity, revenue, and cost. Use this when you need to understand which products or services are your top sellers and which are underperforming.
Before you start
- You need permission to view Reports.
- The report includes all invoices and sales orders from the current period.
- Have a date range in mind (e.g., this month, this quarter, or last year).
Steps

Go to Reports from the main menu. Open in Usystems

Look for Sales by Item Breakdown in the list of reports.

Click Run or Generate next to the report name.

(Optional) Choose filters:
- Date range: Select the start and end dates for the period you want to analyze.
- Product/Service: Select a specific item, or leave blank to see all items sold.
- Warehouse: If your company manages multiple warehouses, select one or leave blank for all.
- Currency: If you use multiple currencies, select the one you want to view.

Click Run or Generate to produce the report.

The report appears on screen with a row for each item sold. Each row shows the product name, quantity sold, unit price, total revenue, and cost of goods sold.
Accounting impact
This is a read-only report. It shows sales posted to your revenue accounts and product cost accounts. It does not create or modify any transactions.
Tips & common mistakes
- One row per item: each distinct product or service appears as a separate row. If you sold the same item at different prices, you may see multiple rows.
- Cost of goods sold (COGS): the Cost column shows the total cost for items sold during the period. This helps you calculate gross profit margin.
- High-volume vs. high-revenue items: a product might have high quantity but low revenue if sold at a low price. Use this report to identify your most profitable items, not just your most-sold items.
- Seasonal trends: run this report for different months or quarters to spot seasonal patterns in sales.
