Exporting and printing the Sales Returns report

Save the returns data to Excel or PDF, or print it directly for analysis and record-keeping.

After running the Sales Returns report, you can export it to Excel or PDF for deeper analysis, trend identification, or sharing with management and customer service teams. Excel is especially useful because you can sort by return reason, group by product, or calculate return rates.

Before you start

  • Run the Sales Returns report and have it displayed on screen.
  • Decide whether you want to export (for further analysis) or print (for immediate output).

Steps to export

  1. On the report page, look for an Export or Download button (usually near the top right).

  2. Select the file format:

    • Excel (.xlsx): best for sorting, filtering, adding calculations, or analyzing return patterns by product, reason, or customer.
    • PDF: best for printing or sharing as a final read-only document.
  3. Click the format you want. The file will download to your computer.

  4. (Optional) In Excel, you can:

    • Sort by "Return reason" to group similar returns.
    • Sort by "Product name" to identify which items have the highest return rates.
    • Filter by "Customer" to investigate returns from a specific customer.
    • Add a sum formula to calculate total refund amount for the period.

Steps to print

  1. On the report page, look for a Print button (usually near the top right, or in a menu).

  2. Your browser's print dialog will open.

  3. Choose your printer and any print settings (orientation, margins, pages to print, etc.).

  4. If the report has many rows, consider printing to PDF instead, so you can save it for records.

  5. Click Print.

Tips

  • Print orientation: Sales Returns reports can be long. Landscape (sideways) orientation often fits better. Change this in the print dialog.
  • Excel for analysis: if you export to Excel, you can create a pivot table to see total returns by product, reason, or customer.
  • Identify trends: if you see a spike in returns of a specific product, investigate the root cause (quality issue, wrong item shipped, customer expectation mismatch).
  • Track by reason: use return reasons to drive corrective action. High "Defective" returns may need a supplier conversation or product reformulation.
  • Save before sharing: export to PDF if you want to send the report by email, rather than sharing a link (which requires login).
  • Naming convention: include the date range in the filename (e.g., Sales_Returns_Jan-Jun-2026.xlsx) so you can track when the report was run.
