Reading and interpreting the Sales Summary report

Understand how to read and analyze the totals in the Sales Summary report.

What is the Sales Summary report?

The Sales Summary report shows aggregated (totaled) sales data. Rather than displaying every invoice line (like the Invoice Detail report), it condenses your sales into a few key rows, one per customer, product, or time period.

Why it matters

While the Invoice Detail report gives you granular information, the Sales Summary report gives you the big picture:

  • See at a glance which customers spent the most
  • Identify top-selling products by revenue or unit volume
  • Spot seasonal trends if you group by month or quarter
  • Quickly calculate average prices and profit margins (if cost data is available)

How it works in Usystems

  1. You choose the grouping: by customer, product, or date (day/week/month).
  2. Each row is an aggregate: One row = one customer (total sales to them), OR one product (total revenue from it), OR one period (total sales in that week/month).
  3. Columns show totals: Quantity, Revenue, Average Price, and sometimes Cost or Margin.
  4. Data comes from posted invoices: Only finalized invoices are included; drafts are excluded unless you specifically filter for them.

Key columns explained

  • Customer / Product / Date: The grouping label (e.g., "ABC Co." if grouped by customer).
  • Total Quantity: Sum of all units sold in this group.
  • Total Revenue: Sum of all invoice amounts in this group.
  • Average Price: Total Revenue ÷ Total Quantity (the typical price per unit).
  • Invoice Count: How many separate invoices or transactions are in this group.
  • Total Cost (if available): If your products have cost data, the total cost of goods sold in this group.

Accounting impact

The Revenue totals in this report match your Sales Revenue account in the general ledger. If you sum all rows, the grand total should equal your total posted sales for the selected period. The data is a summary of finalized transactions only.

Reading examples

Grouped by Customer:

  • ABC Co. | Qty: 1,500 | Revenue: $50,000 | Avg Price: $33.33 → You sold 1,500 units to ABC Co. for an average price of $33.33 per unit.

Grouped by Product:

  • Widget A | Qty: 500 | Revenue: $15,000 | Avg Price: $30 → Widget A generated $15,000 in revenue across all customers.

Grouped by Month:

  • 2026-06 | Qty: 2,000 | Revenue: $75,000 | Avg Price: $37.50 → In June 2026, you sold 2,000 units for a total of $75,000.

Where you see it

  • Reports → Sales Reports → Sales Summary — the main place to view this report.
  • Use alongside Invoice Detail (for line-by-line breakdown) for complete sales visibility.
