Exporting and printing the AP Aging Detail report
Save the line-by-line report to Excel or PDF, or print it directly.
After running the AP Aging Detail report, you can export it to Excel or PDF for analysis, sharing, or printing. Excel is especially useful because you can sort, filter, and calculate totals on the exported data.
Before you start
- Run the AP Aging Detail report and have it displayed on screen.
- Decide whether you want to export (for further analysis) or print (for immediate output).
Steps to export

On the report page, look for an Export or Download button (usually near the top right).

Select the file format:
- Excel (.xlsx): best for sorting, filtering, adding calculations, or manipulating the data further.
- PDF: best for printing or sharing as a final read-only document.

Click the format you want. The file will download to your computer.

(Optional) In Excel, you can:
- Sort by "Days overdue" to prioritize payment.
- Filter by "Vendor" to focus on specific vendors.
- Add a sum formula to double-check the total.
Steps to print

On the report page, look for a Print button (usually near the top right, or in a menu).

Your browser's print dialog will open.

Choose your printer and any print settings (orientation, margins, pages to print, etc.).

If the report has many rows, consider printing to PDF instead, so you can save it for records.

Click Print.
Tips
- Print orientation: AP Aging Detail reports often fit better in landscape (sideways) orientation because they have many columns. Change this in the print dialog.
- Excel is powerful: if you export to Excel, you can sort by vendor, age, or amount to identify patterns or plan payment strategies.
- Save before sharing: export to PDF if you want to send the report by email, rather than sharing a link (which requires login).
- Large reports: if the report has many rows, Excel is better than PDF — you can filter and analyze without printing a 10-page document.
- Naming convention: include the "As of date" in the filename (e.g.,
AP_Aging_Detail_2026-07-03.xlsx) so you can track when the report was run.
