Exporting and printing the AP Balance report
Save or share the report in PDF, Excel, or printed form.
Once you've run the AP Balance report and reviewed the data, you can export it as a PDF or Excel file, or print it for your records or vendor communication.
Before you start
- The AP Balance report has been run and is displayed on your screen
- You have a PDF reader or Excel viewer to open the file (or a printer connected to your computer)
- Decide whether you want to export in PDF, Excel, or print format
Steps to export as PDF

On the AP Balance report page, look for an Export or Download button near the top.

Select Export as PDF (or similar option).

Your browser will download a PDF file named something like
AP_Balance_Report_20260703.pdf. -
Save it to your chosen location on your computer.
Steps to export as Excel

On the AP Balance report page, look for an Export or Download button.

Select Export as Excel or Download as CSV.

Your browser will download a spreadsheet file (
.xlsxor.csv). -
Open it in Excel, Google Sheets, or another spreadsheet application.

You can then sort, filter, or add calculations as needed (e.g., project cash outflow for the next 30 days).
Steps to print

On the AP Balance report page, look for a Print button.

Click Print (or use your browser's keyboard shortcut: Ctrl+P on Windows, Cmd+P on Mac).

Select your printer from the print dialog.

Adjust any page settings (paper size, margins, orientation) if desired.

Click Print to send the report to your printer.
Tips & common mistakes
- PDF is best for sharing: if you need to email the report to accounting staff or archive it for audit purposes, PDF preserves formatting and is read-only.
- Excel is best for forecasting: if you want to forecast cash outflow, add payment dates, or combine with other data, export to Excel.
- Print preview first: before printing, check the print preview to ensure the report fits on one or two pages.
- Large reports may span multiple pages: if you have many vendors, the report may print on multiple pages; choose landscape orientation if needed.
