Reference list of available filters and settings to customize your AR aging detail report.
Jul 11, 2026
When running the AR Aging Detail report, you can use filters and date options to focus on specific invoices and time periods. Below is a reference guide to each option.
Main settings
| Option | What it does | Example |
|---|---|---|
| Report Date | The date as of which aging is calculated. All invoice ages are relative to this date. | Set to 2026-07-03 to see aging as of today. |
| Date Range | (Optional) Filter invoices by the date range in which they were issued, in addition to aging calculation. | Show only invoices created between 2026-01-01 and 2026-07-03. |
Available filters
| Filter | Effect | Notes |
|---|---|---|
| Customer | Show invoices from a specific customer or list of customers. | Type the customer name or select from a dropdown. You can filter by multiple customers. |
| Invoice Number | Find a specific invoice by its number. | Useful if you are investigating a particular invoice or dispute. |
| Currency | Show only invoices in a specific currency. | Useful for multi-currency businesses. Shows each currency separately or filtered. |
| Status | Filter by invoice status (e.g., Approved, Overdue, In Dispute). | Different statuses available depending on your workflow settings. |
| Product Line or Department | Filter to invoices linked to a specific product line or department. | Available only if your business is organized this way. |
| Aging Bucket | Show only invoices in a specific aging bracket (e.g., only 90+ days). | Useful to focus on the worst offenders. |
Filter behavior
- Multiple filters stack with AND logic: If you filter by Customer "ABC" AND Aging Bucket "90+," the report shows only invoices from ABC that are more than 90 days overdue.
- Removing a filter: Click the X next to any applied filter to remove it.
- Resetting all filters: Look for a Clear Filters button to reset to the unfiltered view.
Column headers and sorting
The detail report allows you to:
- Click a column header to sort by that column (e.g., click "Days Overdue" to sort oldest first, then newest).
- Reverse sort direction: Click the column header again to toggle between ascending and descending order.
- Hover over a column name to see a brief description of that column.
Export and display options
After running the report, you may see:
| Option | Purpose |
|---|---|
| Export to Excel or Download | Save the report as a spreadsheet for follow-up work, filtering, or email. |
| Open a print dialog to send the report to your printer or save as PDF. | |
| Show/Hide Columns | On some reports, toggle which columns display (e.g., hide Due Date if not tracked). |
Tips for effective filtering
- Start with Aging Bucket "90+": Filter to only severely overdue invoices first, follow up on those, then move to earlier buckets.
- Use Customer filter for targeted follow-up: If a customer has reported a problem, filter to just that customer to review all their unpaid invoices.
- Use Invoice Number filter for disputes: If a customer disputes a specific invoice, filter to it directly to review the details.
- Combine filters for precision: Filter by both Customer and Aging Bucket (e.g., "Customer ABC" + "90+ days") to target specific high-risk accounts.
- Sort by amount for quick wins: Click the "Amount" column header to sort by invoice size; call the customer with the largest amount first.
Grouping and subtotals
The detail report may show subtotals:
- By Customer: Each customer section shows their subtotal of overdue invoices.
- By Aging Bucket: Some versions group subtotals by aging bucket (Current, 1-30, 31-60, 61-90, 90+).
- Grand Total: The bottom of the report shows the total of all outstanding invoices in the filtered view.
Use these subtotals to prioritize collection efforts by customer or by age category.
