Reading and interpreting the AR Aging Detail report

Understand each column in the detail report and how to use line-item data to manage collections.

The AR Aging Detail report displays every unpaid invoice as a separate row, showing the customer, invoice number, date, and age. Unlike the summary report, the detail view gives you the granular information you need to follow up on specific invoices, spot duplicate customers, and prioritize collection calls.

What the report shows

Each row in the detail report represents one unpaid invoice and includes:

  • Customer (or Contact) name: The party that owes you money.
  • Invoice Number: The unique identifier of the invoice; use this when discussing the invoice with the customer.
  • Invoice Date: The date the invoice was issued.
  • Due Date: When the invoice was due for payment (if payment terms are tracked).
  • Amount: The original invoice amount.
  • Outstanding Amount: How much remains unpaid (after any partial payments).
  • Days Overdue (or Days Old): The number of days between the invoice date and the report date.
  • Aging Bucket: Which bracket the invoice falls into (Current, 1-30, 31-60, 61-90, 90+).

Rows are typically grouped by customer and then by aging bucket, making it easy to see all of one customer's invoices together.

Why this matters

The detail report helps you:

  1. Follow up precisely: You have the specific invoice number and amount to reference when calling a customer.
  2. Spot problem customers: If you see one customer's name multiple times, they have a pattern of late payment.
  3. Prioritize efforts: Focus on the oldest invoices (90+ days) or the largest amounts first.
  4. Investigate disputes: If a customer claims an invoice was paid or wrong, you can verify it on this report.
  5. Make collections decisions: With invoice-level detail, you can decide whether to write off an invoice, escalate to a collection agency, or pursue a legal remedy.

How to interpret the columns

  • Days Overdue = 0 to 30: Invoice is recent; typically not urgent unless it has exceeded its term.
  • Days Overdue = 31 to 60: Customer is noticeably late; send a reminder or call.
  • Days Overdue = 61 to 90: Invoice is significantly overdue; escalate follow-up efforts.
  • Days Overdue > 90: Invoice is severely overdue; this is a collection risk or a write-off candidate.

If Outstanding Amount < Original Amount, the customer has made a partial payment. The difference is already paid, but the remaining balance is still aging from the original invoice date.

Where to see it in Usystems

Go to Reports → Receivables & Payables Reports → AR Aging Detail, then set your report date and click Run. Open in Usystems

You can filter by customer, currency, status, or invoice number to find specific invoices. The report is generated on demand; you run it when you need to investigate or prioritize collections work.

Tips for using the detail report

  • Export to Excel for follow-up: Download the report as Excel, add a "Status" column to track which customers you've contacted, and use it as a collections workqueue.
  • Sort by Days Overdue: Click the "Days Overdue" column header to sort oldest first, then work down the list.
  • Look for repeat customers: If the same customer appears multiple times with different invoices, they may have a systemic payment issue.
  • Combine with summary report: Use the summary to see big-picture aging trends, and the detail report to drill into specific invoices.
