Running the AR Aging Summary report

Generate an aging summary to see which customers owe you money and how overdue their invoices are.

The AR Aging Summary report groups outstanding invoices by customer and age, showing you at a glance which customers have unpaid balances and how long those invoices have been outstanding. This helps you prioritize collection efforts and identify overdue accounts.

Before you start

  • You need permission to view reports. If reports are missing from your menu, ask your administrator to enable the reports app for your role.
  • Know the date you want to run the aging as of (usually today's date for current aging, or a specific period-end date for historical analysis).
  • Optionally have a customer name or account list ready if you want to filter the results.

Steps

  1. Go to Reports. Open in Usystems

  2. Under Receivables & Payables Reports, choose AR Aging Summary. Click on the report name.

  3. Set the Report Date:

    • Click the date field and pick the date as of which you want to measure aging (usually today).
    • Invoices will be grouped by how many days they have been outstanding as of this date.
  4. (Optional) Add filters to narrow the results:

    • Click Add Filter or the filter icon.
    • Choose a filter type: Customer, Currency, Status, or another option.
    • Type or select the value. Some filters let you choose multiple items.
    • Click Apply or press Enter.
  5. Click Run or Generate to execute the report.

    • The report loads showing customers and their total outstanding balance grouped by age buckets (e.g., Current, 1-30 days, 31-60 days, 61+ days).
    • Numbers appear in your configured language.
  6. (Optional) Review the summary:

    • Scan the totals by aging bucket to see how much money is overdue.
    • Identify customers with the oldest outstanding invoices.
    • Note the total outstanding amount across all customers.
  7. (Optional) Drill down or export (see "Exporting and printing the AR Aging Summary report").

Accounting impact

Running the report does not change any balances or records. The report is a read-only summary of your accounts receivable as of the date you specify. The aging bucket assignment depends on the days between each invoice date and the report date.

Tips & common mistakes

  • Report date matters. Running the aging as of today shows current overdue status; running it as of month-end shows historical aging from that period.
  • Filters are cumulative (AND logic). If you filter by Customer X and Status "Approved," the report shows only approved invoices from that customer.
  • Summary totals hide detail. If a customer's balance seems incorrect, use the AR Aging Detail report to see individual invoices.
  • Partial payments reduce aging. If a customer paid half an invoice, the remaining balance ages from the original invoice date, not the payment date.
