Exporting and printing the Contact Balance (Summary & Detail) report

Save the report to your computer or print it for offline distribution.

After you run your Contact Balance report, you can export it as a file or print it for sharing with managers, accountants, or auditors.

Before you start

  • The report must be generated (you must click Run or Generate).
  • You need permission to view reports (standard for accounting users).
  • To print, you need a printer connected to your computer.

Exporting to a file

  1. After running the report, look for the Export button on the report page.

  2. Choose your file format:

    • CSV — opens in Excel or any spreadsheet program; best for further analysis.
    • Excel — opens directly in Excel; formatted with headers.
    • PDF — looks polished for sharing; preserves layout and fonts.
  3. Click Download or Export. The file is saved to your computer's Downloads folder.

  4. Open the file in the program of your choice (Excel, Google Sheets, Adobe Reader, etc.).

Printing the report

  1. After running the report, look for the Print button or press Ctrl+P (Windows) / Cmd+P (Mac).

  2. Choose your printer and any page settings (double-sided, color, etc.).

  3. Click Print.

The report will print with the title "Contact Balance Report," the date it was generated, and any filters you applied.

Tips & common mistakes

  • CSV is lean and portable — good for Excel pivot tables or data analysis. Excel is formatted — better for presentations. PDF is final — best for distribution and archiving.
  • Large reports (1000+ contacts) may take a few seconds to export. This is normal.
  • If your printer is offline, the print dialog will show an error. Check your printer connection and try again.
