Exporting and printing the Contact Statement of Account report
Save the statement as a file or print it to send to customers or vendors.
After you generate a Contact Statement of Account, you can export it to share with the customer or vendor, or print it for your records.
Before you start
- The statement must be generated (you must click Run or Generate).
- You need permission to view reports (standard for accounting users).
- To print, you need a printer connected to your computer.
Exporting to a file

After running the statement, look for the Export button on the report page.

Choose your file format:
- CSV — opens in Excel or any spreadsheet program; best for further analysis or import.
- Excel — opens directly in Excel; formatted with headers and styling.
- PDF — looks polished and professional; preserves the exact layout for sharing.

Click Download or Export. The file is saved to your computer's Downloads folder.

Open the file in the program of your choice (Excel, Google Sheets, Adobe Reader, etc.).
Printing the statement

After running the statement, look for the Print button or press Ctrl+P (Windows) / Cmd+P (Mac).

Choose your printer and any page settings (single-sided, double-sided, color, grayscale, etc.).

Click Print.
The statement will print with the contact name, the reporting period, and all transactions in order.
Sending to a customer or vendor
PDF is best for sending because it preserves formatting and cannot be accidentally edited. You can then email it, print it, or share it however you prefer.
Tips & common mistakes
- PDF for sharing, CSV for data analysis, Excel for light editing or presentation.
- Large statements (100+ transactions) may take a few seconds to export. This is normal.
- If you print a statement, include the date it was generated so the recipient knows it is current.
- If the printer is offline, the print dialog will show an error. Check your printer connection and try again.
