Exporting and printing the Customer Balance (Summary & Detail) report

Save your report as a file or send it to a printer.

What this does

Once you've run the Customer Balance report and see the data on screen, you can save it or print it for your records, email, or distribution.

Before you start

  • You must have already run the Customer Balance report and see the results displayed.
  • For exporting, check that your browser allows file downloads.
  • For printing, ensure your computer is connected to a printer or you have a print-to-PDF option.

Steps to export

  1. After running the report, look for the Export or Download button (usually near the top of the report, above the data table).

  2. Select your desired format:

    • PDF: Best for printing, sharing via email, and archiving.
    • Excel (.xlsx): Best for further analysis, formulas, or integration with other spreadsheets.
    • CSV: Best for importing into other systems or databases.
  3. Click Export or Download. Your file will be saved to your default downloads folder (usually called "Downloads").

  4. Verify the file appears in your downloads and check that it contains the correct data.

Steps to print

  1. After running the report, look for the Print button (usually a printer icon, often near the Export button).

  2. Your system's print dialog will open. Choose:

    • Your printer from the list.
    • Page orientation (Portrait or Landscape; Landscape is often better for wide reports).
    • Paper size (usually A4 or Letter).
  3. You can also choose Print to PDF instead of sending to a physical printer if you prefer a digital copy.

  4. Click Print. The report will be sent to your printer or saved as a PDF file.

Tips & common mistakes

  • PDF format is safest: It preserves the formatting exactly as you see it on screen and is widely compatible.
  • Excel for analysis: If you plan to filter, sort, or perform calculations on the data, export to Excel.
  • Check the data: Before printing many copies, verify that your filters and date range are correct so you don't print outdated or incomplete information.
  • File naming: When exporting, note the default file name (usually includes the report name and date). Rename it if you want a more descriptive name for your records.
