Available filters
| Filter | What it does |
|---|---|
| As of date | Shows customer balances calculated at a specific date. Default is today. Use this to see historical balances or to match a previous statement. |
| Customer | Select one or more customers to include. Leave blank to show all customers. |
| Product (ref_product) | Filter by product type (e.g., "Pharmacy", "Accounting", "Inventory"). Useful if your company has multiple business units. |
| Contact type | Choose "Customers" or show all contact types. |
| Currency | Filter to one currency if you work with multiple. Leave blank for all currencies. |
| Balance type | Some systems let you filter by "Debtors" (positive balance) or "Advance/Credit" (negative balance). Check your report options. |
Report view options
| Option | Effect |
|---|---|
| Summary view | One row per customer showing their total balance, regardless of how many transactions. Fastest to load and easiest to scan. |
| Detail view | Shows every invoice, payment, credit note, and adjustment line. Use this to verify specific transactions or audit the balance. |
Sorting and organization
Most reports allow you to sort by:
- Customer name
- Customer code
- Balance amount (highest to lowest)
- Balance date
Sorting by balance (highest first) helps you prioritize collection efforts.
Notes on multi-currency balances
If you use multiple currencies:
- Each customer's balance is shown in the currency of their transactions.
- The Summary view does not convert or sum balances across currencies.
- Use the Currency filter to isolate one currency for comparison or consolidated reporting.
