Setting a default currency for a contact

Assign a preferred currency so invoices and balances default to the currency you use most with that contact.

What this does

When you work with a contact in multiple currencies, Usystems tracks their balance separately for each currency. Setting a default currency tells the system which currency to use when you open a new invoice or bill for that contact. This saves you time by pre-filling the currency field, and makes balance tracking clearer if you have a primary currency for that relationship.

Before you start

  • You must have permission to edit contacts (check with your administrator if unsure).
  • The currency must already exist in your system's currency list (ask your administrator if you need to add a new currency).
  • You are not locked into the default—you can change the currency on any individual invoice or bill.

Steps

  1. Go to Contacts. Open in Usystems

  2. Find and click the contact you want to set a default currency for. This opens their profile.

  3. Look for the settings or edit section on the contact card. Click Edit or the settings icon to open the edit form.

  4. Find the Currency field. It usually appears near the top or in a "Financial" section.

  5. Click the currency dropdown and select the currency you use most often with this contact (e.g., USD, EUR, AFN).

  6. Save the contact. Click the Save button at the bottom of the form.

What happens next

  • The next time you create an invoice, bill, sales receipt, or purchase for this contact, the currency field will default to the one you selected.
  • The contact's balance will still track all currencies separately. Setting a default currency does not hide balances in other currencies—it just sets a convenience default.
  • If you later need to use a different currency with this contact, you can change it on the specific document; the default remains unchanged.

Tips & common mistakes

  • Tip: If you work with a contact in many currencies, consider setting the default to your business currency (e.g., your company's home currency). This simplifies most transactions.
  • Tip: You can change a contact's default currency at any time. There is no limit to how often you edit it.
  • Common mistake: Setting a default currency does not lock you into that currency. You can always override it for a single invoice or bill by choosing a different currency in the document form itself.
  • Common mistake: Changing a contact's default currency does not convert existing invoices or balances to the new currency. It only affects new documents going forward.
