Line discounts on a bill
Apply a discount to individual line items when buying from a vendor.
What this does
A line discount is a reduction on the price of a single item on your bill. It is useful when a vendor offers a discount on one product but not others, or when you negotiate a lower price for a particular quantity or order.
Before you start
- You have permission to create and edit bills (speak to your administrator if unsure).
- The bill line item is already added to the bill.
- You know the discount amount or percentage you received from the vendor.
Steps
-
Open Bills and select the bill you are working on, or create a new bill. Open Bills
-
In the Items section, find the line item you want to discount.
-
Locate the Discount column (or field) for that line. Enter either:
- A fixed amount (e.g., 100 AFN) to reduce the line price by that amount, or
- A percentage (e.g., 10%) to reduce the line price by that percentage.
-
Press Tab or click outside the field to apply the discount. The line total will update automatically.
-
Repeat for any other lines that have discounts, then save the bill.
Accounting impact
When you apply a line discount, the purchase amount for that item is reduced. The general ledger will reflect the lower net cost—the discount is not posted as a separate account but reduces the amount you owe the vendor.
Tips & common mistakes
- Discount vs. unit price: A line discount reduces the total for one line only. If you typed a lower unit price by mistake, correct the unit price instead.
- Order of operations: Enter line discounts before applying document-level discounts, so all calculations are clear.
- Percentage vs. fixed amount: Use percentage if the vendor quotes a percentage off (e.g., 10% discount); use a fixed amount if they quote an AFN or other currency amount.
