Editing a bill: what changes are allowed
Understand which bill fields you can edit and when, and what triggers re-calculation.
When you open a bill to edit it, not all fields are editable — some lock once the bill reaches a certain state, and some require special permissions. Understanding these rules prevents accidental data loss and keeps your accounting consistent.
Before you start
- You must have permission to edit bills (ask your admin if unsure).
- If the bill is linked to payments or refunds, editing the bill amount or items may affect those linked records.
- Some fields stay locked even for admins — these follow purchase-order rules or inventory-receiving rules that prevent breaking historical records.
What you can and cannot edit
Editable fields (at any bill state):
- Vendor (contact)
- Bill date
- Reference number / notes
- Line-item descriptions and quantities (within reason — see below)
- Discount and tax on individual lines
- Payment terms / due date
Locked fields (never editable):
- Bill number (auto-generated once posted)
- Total amount that affects already-posted payments (you must reverse the payment instead)
Fields that lock after posting to accounts: Once a bill posts to the general ledger (usually on creation), you cannot change:
- Vendor account mapping
- Line-item cost per unit (if it has already posted to inventory)
- The set of line items themselves (no delete; you must add a return/refund instead)
Steps to edit a bill

Navigate to Bills and find the bill you want to edit. Open in Usystems

Click the bill to open its detail page.

Click Edit (or similar edit icon).

Update the fields you want to change (following the rules above).

If you changed the bill amount, tax, or items, the system recalculates:
- Line totals
- Overall bill total
- Any GL impact (if the bill has not posted yet)

Click Save to apply changes.
Accounting impact
- If you edit before the bill posts to the GL, the new amounts are reflected in the GL when it posts.
- If you edit after posting, the GL entries do not automatically reverse — contact your admin or use a bill credit/return to offset.
- Editing a bill amount that has linked payments may overstate or understate the amount owed; check the payment records afterward.
Tips & common mistakes
- Edit early: Make corrections before the bill posts to your GL. Once posted, use a return/refund instead.
- Quantity vs. unit cost: If you need to change what was received (quantity), raise a return/refund. Changing the unit cost after inventory has recorded the receipt can create a mismatch.
- Permissions matter: If you see a field greyed out, you lack the permission to change it — ask your admin.
- Check linked payments: Before reducing a bill amount significantly, verify there are no payments against it, or you may create an overpayment.
