Choosing and customizing the bill print template

Select a print template or modify fields to match your company's invoice format.

Every bill you print uses a print template — a design that controls layout, fonts, colors, and which fields appear. Usystems comes with a default template, and admins can customize it to match your company's branding or legal requirements.

Before you start

  • You need admin or template editor permissions to customize print templates.
  • Access the templates area via Settings → Print Templates (or similar path).
  • Know your company's requirements: logo placement, required legal text, payment instructions, terms and conditions.

Choosing a template when printing

  1. Open a bill and click Print. Open in Usystems

  2. Before printing, look for a Choose Template option or dropdown.

  3. Select from available templates (e.g., "Standard Bill," "Compact," "With Logo," etc.).

  4. The print preview updates to show the selected template's layout.

  5. Click Print to proceed.

Customizing the default bill template

If you have admin permissions, you can edit the bill template itself:

  1. Go to Settings → Print Templates. Open in Usystems

  2. Find the Bill template in the list.

  3. Click Edit to open the template editor.

  4. In the editor, you can:

    • Add your company logo (usually at the top)
    • Modify header/footer text (company name, address, tax ID)
    • Change colors and fonts (if the designer allows)
    • Add custom fields (e.g., terms, payment instructions, notes)
    • Reorder sections (e.g., move the signature line)
  5. Click Preview to see your changes.

  6. Once satisfied, click Save to apply the template.

Common template customizations

Adding a company logo:

  • Look for a "Logo" or "Image" field in the template editor.
  • Upload your company's logo file (usually PNG or JPG).
  • Position it at the top left or center, per your preference.

Modifying company details:

  • Update fields like "Company Name," "Address," "Phone," "Tax ID" to match your actual information.
  • These are often in the header section.

Adding payment instructions:

  • Create a "Notes" or "Footer" section.
  • Add text like "Please remit payment by [Due Date] to our bank account: [Details]."

Changing the bill title:

  • Some templates allow you to change "Bill" to "Purchase Order" or another name (depending on your region's conventions).

Tips & common mistakes

  • Preview before saving: Always use the Preview feature to check your changes before saving.
  • Test print: Print a sample bill to a PDF first to verify layout and colors before mass-printing.
  • Keep templates simple: Too many colors or fonts can make the bill hard to read. Stick to 2–3 colors and 1–2 fonts.
  • Legal requirements: If your region requires specific fields (like tax registration number or invoice terms), ensure they appear on the template.
  • Backup your template: Before making major edits, take a screenshot or export a backup of the original, in case you want to restore it.
