Currency and conversion-rate problems

Troubleshoot exchange-rate and multi-currency issues on bills.

When creating or posting bills in a currency different from your company's default, you need to set the correct exchange rate. Without it, the bill cannot be saved or posted, and calculated amounts may be wrong.

Symptom

  • Error message: "Exchange rate required" or "No rate found for this currency on this date"
  • Bill shows incorrect total when converted to the default currency
  • Bill refuses to save because the currency/rate is invalid

Likely causes (ordered by probability)

1. Exchange rate not set for the date When a bill is in a foreign currency, the system needs to know the exchange rate for that date to convert it to your company's base currency. If no rate is set, the operation will fail.

  • Fix: When creating the bill, after selecting the currency, scroll down and set the Exchange Rate field to the correct rate for that date. (For example, if 1 USD = 85 AFN, enter 85.) Ask your finance team for the official rate.

2. Vendor's currency doesn't match the bill currency If the vendor's default currency is different from the currency you chose for the bill, you may see a mismatch error.

  • Fix: When creating the bill, explicitly select a currency in the Currency field. This overrides the vendor's default. Then set the exchange rate. If the vendor almost always uses the same currency, ask your administrator to update the vendor's default currency in Contacts → Vendors. Open Vendors

3. Currency is disabled or not set up Your company may not have the currency you're trying to use enabled. Without it, you cannot create bills in that currency.

  • Fix: This is a configuration issue. Contact your administrator. They can enable additional currencies in Settings. Open Settings

4. Decimal or rounding error in the exchange rate If you enter an exchange rate with too many decimal places or round it incorrectly, the conversion may be off.

  • Fix: When entering the exchange rate, use 2–4 decimal places (e.g., 85.5 or 85.25). Avoid very long decimals. If the rate causes a large rounding error, ask your finance team for the official rate rounded to 2 decimal places.

5. Bill amount exceeds system limits for the currency Some currencies have limits on how large a single transaction can be. A very large bill might exceed that limit.

  • Fix: Check with your administrator to see if there are any currency limits set. If the bill is legitimately large, they may need to adjust system settings or split the bill into smaller invoices.

When to contact support

If you've set the exchange rate correctly and the bill still won't save, or if the converted total is wildly incorrect, contact your administrator or Usystems support with a screenshot of the bill and the exchange rate you entered.
