Searching and filtering the cash purchases list
Find the cash purchases you need using search, filters, and sorting options.
The cash purchases list shows all your cash purchases in one place. You can search, filter, and sort to find exactly what you need.
Before you start
- You have permission to view cash purchases (part of the standard Purchases role).
- At least one cash purchase has been created in your system.
Steps
1. Open the cash purchases list
Go to Purchases → Cash Purchases and click the link to view all cash purchases. Open in Usystems
2. Search by document code or vendor name
At the top of the list, you see a search box. Type any part of:
- The cash purchase code (document number)
- The vendor name
As you type, the list updates to show matching documents.
3. Filter by status
Below the search box, you see filter buttons for:
- All (shows all statuses)
- Draft (documents you are still editing)
- Finalized (documents that are locked and affect your accounts)
- Paid (completed documents)
Click any button to show only documents with that status.
4. Filter by date range
If available, click the Date filter to set a start and end date. Only cash purchases within that range will display.
5. Sort the list
Click the column header to sort by:
- Document code
- Vendor name
- Date
- Total amount
- Status
Click again to reverse the sort order (ascending ↔ descending).
6. View a document
Click any row to open the cash purchase. You can review details, make edits (if it is still a Draft), or print it.
Tips & common mistakes
- Search is flexible. You can type part of a name. For example, typing "Ali" will find "Ali's Hardware" and "Malik" (both contain "Ali").
- Combine filters. You can use search AND status filters together. For example, search "office" and filter to "Draft" to find all unsaved drafts with "office" in the name.
- Check the date filter. If your search seems to return too few results, make sure the date filter is not limiting your results to a narrow range.
- Sorting resets when you filter. If you sort and then apply a filter, the list re-sorts by default (usually by date, newest first).
