Choosing and customizing the cash purchase print template
Select a print template for cash purchases and customize its appearance to match your needs.
Print templates control how cash purchases look when printed. As an admin, you can choose from existing templates or customize one to match your company's branding and requirements.
Before you start
- You must be an admin to access print template settings
- You should have a basic understanding of your desired layout (logo placement, included fields, footer details)
- Access to the Print Templates settings page
- Optional: an image file for your company logo (PNG, JPG, or PDF-compatible format)
Steps to choose or assign a print template for cash purchases
- Go to Settings → Print Templates

Look for the Cash Purchase template section (or search for "cash purchase" if templates are listed)

You'll see one or more templates available:
- Default — the built-in template
- Custom — any templates your admin or Usystems has created for your organization
- Imported — any templates imported from another system or vendor

Click on a template to preview it and see its fields and layout

Click Select or Set as Default to use it for all new cash purchase prints
How to customize a print template
If the available templates don't match your needs, you can customize one.
Basic customization (no coding):

From the template list, find the template you want to customize and click Edit

Depending on what's editable in your template:
- Company name/logo — upload your company logo or change the header text
- Included fields — toggle which fields appear (vendor name, purchase date, item details, totals, notes, etc.)
- Font and sizing — adjust text size or font style if those options are available
- Footer — add company address, tax ID, contact info, or payment terms
- Colors/styling — some templates allow you to change colors to match your branding

Click Preview to see how changes look

When satisfied, click Save to store the customized template
Advanced customization (technical):
If your organization has access to the HTML/template editor, you can edit the underlying template markup:

In Settings → Print Templates, click Edit on the desired template

Switch to HTML/Template Editor or Advanced mode (if available)

Edit the template code directly—you can adjust layout, add custom fields, change formatting, etc.

Click Preview to test your changes

Save when done
What fields are typically available to include?
Most cash purchase templates can show:
- Vendor name and contact information
- Purchase date and reference number
- Item list (product name, quantity, unit price, line total)
- Subtotal, taxes, discounts, and grand total
- Your company details
- Purchase terms or payment conditions
- Notes or special instructions
- Footer (company address, phone, email, tax ID)
Not all templates allow all fields, and some may be locked by your admin.
Setting a default template
- Go to Settings → Print Templates

Find the cash purchase template you want as your default

Click Set as Default or a similar option

From now on, when users print a cash purchase without explicitly choosing a template, this template will be used
Testing a custom template
Before rolling out a customized template:

Go to Cash Purchases and open any purchase in Draft or Posted status

Click Print

In the print dialog, select your new or customized template from the dropdown (if templates are user-selectable)

Click Preview to see the output without printing to paper

Review the layout, field alignment, logo placement, and text readability

If satisfied, print to PDF or paper to confirm
Tips & common mistakes
- Keep it simple. Too many fields or a cluttered layout makes receipts hard to read. Include only essential information.
- Test with real data. Preview with an actual purchase that has multiple items, long product names, and discounts—this reveals formatting issues.
- Use your logo. A professional-looking receipt with your company logo builds trust and brand recognition.
- Check alignment on the printer. Margins and positioning can differ between digital preview and physical paper. Print a test copy.
- Update the template together. If multiple people need to print, agree on one template so documents look consistent across your company.
Can users choose their own template when printing?
This depends on your permissions setup. By default, the admin-set default template is used. Your Usystems admin can allow users to select different templates at print time if you want flexibility.
