Missing account errors (receivable/payable/cash not set)
Fix account configuration errors that block cash purchases.
When you try to save a cash purchase and see an error like "Missing payable account," "Cash account not set," or "Invalid account selection," the system is telling you that a required account is not configured. This is an admin-level setup task.
Symptom: "Missing payable account" or "Vendor payable account not found"
This error appears when you're purchasing from a vendor (a supplier contact), but the contact or account is missing a payable account link.
Likely cause: Your vendor contact doesn't have a payable account assigned, or the contact was deleted.
How to fix:
- Go to Contacts → Vendors and Open in Usystems. Find and open the vendor.
- On the vendor detail page, look for the "Payable Account" field (usually under financial settings or account links).
- Select or search for the appropriate payable account from your chart of accounts. Common choices: "Accounts Payable" or a vendor-specific payable.
- Save the vendor record.
- Return to your cash purchase and try saving again.
If the payable account field is empty or missing, contact your system administrator to ensure the vendor contact type includes account field mappings.
Symptom: "Cash account not set" or "Payment account is missing"
This error means the cash purchase cannot determine which account to credit (deduct from) when recording the payment.
Likely cause: The payment account or cash account is not configured on the purchase document or the contact.
How to fix:
- Go to Settings → Accounts and Open in Usystems. Review your account list and confirm you have at least one Cash account set up.
- When creating a cash purchase, ensure you select a valid cash/payment account. The form should have a field for "Payment Account" or "Cash Account."
- If the field is not visible or is required but empty, your system may need configuration. Contact your admin to ensure cash accounts are available for selection.
Symptom: "Receivable account not found" (on cash purchases with refunds or returns)
If you're recording a purchase return or refund as a cash purchase, the system expects a receivable account to credit the vendor when money comes back.
Likely cause: Your contact settings don't include a receivable account, or the account type is wrong.
How to fix:
- Go to Contacts → Vendors and find the vendor.
- Look for "Receivable Account" or "Vendor Receivable" field and assign one from your chart of accounts.
- Save and try the cash purchase again.
Note: Receivable accounts are less common on vendors; check with your accountant if this is the right setup for your business.
Symptom: "Invalid account selected" (generic error)
This broad error means the account you selected doesn't match the system's expectations—possibly a wrong account type, a closed account, or an account with restricted permissions.
How to fix:
- Go to Accounts → Chart of Accounts and Open in Usystems.
- Check that the account you tried to use is:
- Active (not archived or marked closed)
- The correct type for the action (expense for supplies, asset for inventory, cash for payment accounts)
- Not restricted to a specific permission group that excludes you
- If the account looks wrong, select a different one that matches the transaction type.
- If all accounts appear invalid or restricted, contact your system administrator.
General account-setup best practices
To avoid these errors in the future:
- Vendors: Ensure every vendor contact has a payable account assigned before creating purchases from them.
- Cash purchases without a vendor: Assign an expense or asset account directly on the purchase form.
- Payment accounts: Maintain at least one active cash account in your chart. Label it clearly (e.g., "Cash on Hand," "Bank Account").
- Review permissions: If you're the admin, verify that users have access to the accounts they need. Some accounts may be restricted by user group.
When to contact support
If you've set up accounts correctly but still see errors, or if the account fields are missing from your forms entirely, contact your system administrator with details about:
- The exact error message
- The contact/vendor name you were using
- Your account configuration (chart of accounts structure)
