Cash Purchase won't save: common causes
Why your purchase form might be stuck and how to fix it.
If your cash purchase form won't save, one of several common issues is usually to blame. Check each scenario in order—most are quick fixes.
Symptom: You click Save and nothing happens (or you see a spinning button)
Likely cause 1: Missing required fields Check that you've filled in all required fields: purchase date, at least one line item, and an amount. Hover over or look for red asterisks or error messages on fields. Common missing fields are the date, item/account selection, or quantity.
Fix: Complete all required fields and try again.
Likely cause 2: Network or browser issue The form may be trying to save but your connection dropped or the browser tab crashed silently.
Fix: Refresh the page and check if the purchase was saved anyway. If not, re-enter the data and save again. If saving still fails, try a different browser or device.
Likely cause 3: The server is temporarily overloaded or down A 500 error in the background, or the server not responding, will make the save button appear stuck.
Fix: Wait 30 seconds, refresh the page, and try again. If it persists, contact your system administrator.
Symptom: You see an error message like "Missing payable account" or "Invalid account"
Likely cause: Your contact or settings don't have the right account configured. For vendor purchases, the system expects a payable account. For purchases without a vendor (like direct office supplies), an expense account is needed.

Symptom: Form shows a validation error with a strange code (like "ERR_400")
Likely cause: The form is trying to save data in a format the system doesn't understand, or a field value is outside its allowed range (e.g., a negative quantity, or a date far in the future).
Fix: Check each field against your data:
- Quantities: Are they positive numbers?
- Amounts: Do they match your line totals?
- Dates: Are they recent and reasonable (not in the year 2050)?
- Currency: Is it set to a valid currency your system knows?
Correct any suspicious values and try again.
Symptom: You saved successfully but the purchase immediately disappeared
Likely cause: This is usually not a true save failure. The purchase was saved, but the page redirected or navigated away before you could confirm. This can happen if the browser's back button was clicked or if the page auto-refreshed.
Fix: Check your purchase list to confirm the purchase was actually saved. Go to Cash Purchases → Purchase List and Open in Usystems and search by date or amount.
When to contact support
If you've tried all the above and the purchase still won't save, or if you see a different error message, contact your system administrator or Usystems support with:
- The exact error message (screenshot is helpful)
- What data you were trying to save (amounts, vendor, date)
- What you did just before the error appeared
