Avoiding and fixing duplicate contacts

Duplicate contacts — two or more records for the same customer or vendor — create confusion in invoices, payments, and reports. They happen when importing large contact lists, manual entry mistakes, or merging data from different sources. This guide shows how to prevent them and clean them up.

Symptom

You notice the same contact appears multiple times in your Contacts list, or a customer's balance is split across two records. Transactions and payments are scattered, making the full account history hard to see.

Likely causes

During import (most common)

  • The contact already existed in Usystems, and the import file did not include their ID, so the system created a new entry instead of updating the old one.
  • Slight spelling differences: "Ahmed Ali" vs. "Ahmed A." or "Ahmed Alizada" match as new contacts.
  • Whitespace or formatting differences: extra spaces, uppercase vs. lowercase, or different phone formats all trigger a new entry.

Manual entry

  • You or a colleague entered the same contact twice without checking the existing list first.

Data migration

  • Merging customer lists from two branches or time periods created overlapping names.

Fix for each

Before importing: prevent duplicates

  1. Go to Contacts → All Contacts and search for each name in your import file to confirm it does not already exist.
    Open in Usystems

  2. If the contact already exists, include their unique contact ID in the import file's ID column. The system will update the existing record instead of creating a new one.

  3. Standardize the data: All phone numbers should use the same format (e.g., +93 123 456 7890). All names should use the same capitalization (e.g., Title Case). Remove extra spaces.

  4. Before uploading, preview the import file and look for any validation warnings about near-duplicate names. If the preview flags "Ahmed" and "Ahmed Ali" as possible matches, decide which is correct and keep only one in the file.

After importing: merge or delete duplicates

  1. Go to Contacts → All Contacts.
    Open in Usystems

  2. Search for the contact's name and scan the list to spot duplicates.

  3. Open the duplicate record (the one you want to remove or merge).

  4. On the contact page, look for a Merge or Delete option. Click Merge if you want to combine the transaction history; click Delete if the duplicate is truly empty (no invoices, payments, or history).

    • If you merge: choose which record is the "main" record (usually the one with the most transaction history). All invoices, payments, and notes from the duplicate will move to the main record. The duplicate record will be deleted.
    • If you delete: the system will warn you if the contact has any transactions. If you are sure, confirm the deletion. Note: you cannot undo this action.
  5. After merge or delete, go back to Contacts and verify that only one record remains.

When to contact support

  • The Merge or Delete button is not visible on your contact page (this may indicate a permission issue).
  • You have more than 50 duplicates and want help scripting a bulk cleanup.
  • A duplicate contact has transactions and you are unsure which record to keep.
  • Merging or deleting failed with an error message.
