Editing and deactivating customers
Update customer details or mark a customer as inactive when they stop ordering.
Customer information changes over time: contact details, addresses, or preferred currency. Usystems lets you update any customer record without affecting past invoices. You can also deactivate customers to hide them from new transactions while keeping their history intact.
Before you start
- You have Contacts permission
- You know the customer's current name or can find them in the list
- (Optional) You want to deactivate the customer rather than delete them
Steps — Editing a customer

Go to Contacts → Customers
Open in Usystems -
Search for the customer by name in the list, or scroll to find them

Click on the customer's name to open their profile

Edit any field: Name, Email, Phone, Address, or Currency

Click Save
The changes take effect immediately. Past invoices keep the customer's name from when they were created.
Steps — Deactivating a customer

Open the customer's profile (steps 1–3 above)

Look for the Status or Active toggle near the top of the form

Toggle it to Inactive

Click Save
The customer is now hidden from the New Invoice customer dropdown, but their record and history remain in the system.
Tips & common mistakes
- Deactivate, don't delete: Usystems does not allow customer deletion because it would break invoice history. Use Inactive to hide old customers from lists.
- Reactivate anytime: If an inactive customer returns, open their profile and toggle them back to Active.
- Changes don't affect old invoices: If you change a customer's address, it only applies to new invoices. Past invoices keep the address that was saved when they were created.
- Bulk edits aren't available yet: You must edit customers one at a time in the current version.
