Answers to common questions about running and analyzing the detailed discount report.

Q: Can I search for a discount on a specific document?

A: Yes. Use the "Document Number" filter and enter the document's reference number. The report will show all discounts on that specific document. Alternatively, you can open the document directly and see its discounts inline.

Q: Why does my Excel export show different numbers than what I see in the PDF?

A: This usually indicates a filter difference. Verify that you applied the same date range, contact, product, and status filters for both reports. The PDF may have been filtered differently than the Excel export.

Q: How is a discount distributed if it's applied at the document level rather than on individual line items?

A: Depending on your system configuration, a document-level discount may appear as a single row or be proportionally distributed across all line items. If unsure, open the original document to see how the discount was applied to the line items.

Q: Can I sort the detail report to show the largest discounts first?

A: Yes. Use the "Sort By" option and choose "Amount" (or "Discount Rate" if you want to see the highest percentages). You can then sort ascending or descending to put the largest discounts at the top.

Q: What's the difference between the Detail and Summary reports?

A: The Detail report lists every individual discount by document and line item, allowing you to drill down and audit specific transactions. The Summary report shows aggregated totals and trends, making it easier to see patterns across your business. Use Detail for audits and verification; use Summary for trend analysis.

Q: If I filter by a high minimum discount amount, will I see all the big discounts?

A: Yes. The "Minimum Discount Amount" filter only shows discounts equal to or greater than the amount you specify. For example, setting a minimum of 50 will hide any discounts under 50.

Q: Can I add notes or comments to a discount row in the exported report?

A: No, but after exporting to Excel, you can add a column and insert notes directly in the spreadsheet. This is useful for documenting why certain discounts were given or authorizing discounts for audit purposes.

Q: How far back can I run the detail report?

A: You can run the report for any date range in your system's history. There is no built-in time limit. Some organizations choose to run it quarterly or monthly; others run it on demand for specific investigations.
