Exporting and printing the Discount Summary report

Save your report as a file or print a hard copy for records or sharing.

Once you have run the Discount Summary report, you can export it as a PDF, Excel file, or CSV file for archiving, analysis, or sharing with other team members or management. Printing directly from the report view also provides a quick way to create a hard copy.

Before you start

  • The report must be generated and displayed on screen.
  • You need a download location on your computer or a printer configured in your system.
  • Excel and CSV exports are best for data analysis; PDF is best for printing and sharing as a static document.

Steps for exporting

  1. After running the Discount Summary report, look for the Export button or menu near the top of the report view.

  2. Choose your export format:

    • PDF: Creates a formatted, printable document that preserves layout and styling.
    • Excel (.xlsx): Opens the data in spreadsheet format; you can then add formulas, pivot tables, or further analysis.
    • CSV (.csv): Exports raw data as comma-separated values, useful for importing to other systems or software.
  3. Click the format you want. A file download dialog will appear.

  4. Choose where to save the file on your computer and click Save.

  5. The file is now ready to use. You can open it immediately or access it from your Downloads folder later.

Steps for printing

  1. After running the report, locate the Print button (usually a printer icon) near the export options.

  2. Your system's print dialog will open. Select your printer from the list.

  3. Adjust any print settings as needed (page orientation, color/black-and-white, margins).

  4. Click Print. Your report will be sent to the selected printer.

Exported or printed reports serve as documentation of discounts given or received. These records may be required for:

  • Internal audit trails: proving what discounts were recorded in the system.
  • External audit: supporting your financial statements with original data.

  • Excel for analysis: If you need to filter, sort, or calculate sub-totals, use the Excel export and work with the data in a spreadsheet application.
  • Keep backups: Store exported reports in a safe location with version control (e.g., "Discount_Summary_2026_Q2.xlsx").
  • PDF for sharing: When sending a report to someone outside your team, PDF format prevents accidental editing or data loss.
  • Check margins: Before printing, preview the report to ensure all columns fit on the page. Adjust print settings or export to landscape orientation if needed.
