Reading and interpreting the Discount Summary report

The Discount Summary report consolidates discount data into easy-to-read columns, each showing a different aspect of discount activity. Understanding these columns helps you quickly assess discount trends, compare periods, and identify where discounts are having the most impact.
What the report shows
Total Discounts by Category: The report breaks down discounts into sales discounts (from invoices and receipts) and purchase discounts (from bills and cash purchases). This separation lets you see at a glance whether discounts are being offered more on sales or used to negotiate better purchase prices.
Period-over-period comparison: If you run the report for multiple periods, you can compare totals to identify whether discount usage is rising or falling. A steady increase may signal aggressive pricing; a decrease may reflect stricter discount policies.
Discount as percentage of gross sales/purchases: Some reports display the discount rate as a percentage. For example, if sales totaled 1,000 and discounts were 100, the discount rate is 10%. This ratio helps you benchmark against industry norms.
Why this matters
Discounts directly affect profitability. High discounts on sales reduce revenue, while high discounts on purchases reduce costs. The summary gives you the numbers you need to:
- Negotiate with management about discount policies.
- Assess which product lines are being discounted most.
- Monitor whether sales staff are giving excessive discounts.
- Evaluate purchase negotiations with vendors.
How Usystems calculates the summary
Each document (invoice, receipt, bill, or purchase) that includes a discount contributes its discount amount to the summary. The report sums these amounts by category and displays totals for the selected date range. The date used is the document's date, not the date it was entered into the system.
Where you see discount summaries
- Reports area: Run the Discount Summary report on demand. Open in Usystems
- Document lists: Some views show a discount column on individual invoices, receipts, bills, or purchases.
- Dashboard: If configured, a discount widget may appear on your home dashboard.
