FAQ: Discounts by User Report

Common questions answered about running, reading, and using the Discounts by User report.

Jul 11, 2026

Why is a user showing discounts if we didn't give them discount authority?

The report shows all discounts that were actually created, regardless of approval workflow. If a user should not have discount authority, this report is a good way to spot it. Talk to your manager or IT administrator about access control settings.

Does this report include discounts on purchase documents (bills, POs)?

No. The Discounts by User report shows discounts on sales documents only (invoices, sales receipts, and sales orders). Discounts or price reductions on purchases are not included. If you need to track purchase discounts, ask your administrator about other available reports.

Can I export the report and edit it in Excel?

Yes. After exporting to Excel format (.xlsx), you can add formulas, create charts, or filter further. However, the exported data is a snapshot from the moment you exported it. If you add new discounts later, the Excel file will not automatically update. You will need to export the report again to see the latest data.

The report shows a huge total for one user. Is that a mistake?

Maybe. Check the following:

  1. Date range: confirm the date range includes when this user was active. A wide date range may accumulate large numbers.
  2. Document type: filter by sales receipt or invoice only to see if one type is inflating the number.
  3. Audit the documents: go to the sales documents list, filter by that user, and spot-check a few discounted documents to see if they look reasonable.

If the number still seems wrong, contact your administrator or Usystems support.

Why don't I see a specific user in the filter list?

A user will only appear in the report and filters if they have granted at least one discount during the selected date range. If a user has never created a discounted sale, they will not show up. This is normal.

Can the report show negative discounts (price increases)?

No. The report shows only discounts (reductions). Price increases or mark-ups are not tracked separately and will not appear.

How often is the report data updated?

The report reflects data up to the moment you run it. There is no delay. If you just created a discounted sale, run the report again and it should appear.

Can I filter by department or cost center?

The report does not have a built-in department or cost center filter. However, you can export the report to Excel and manually group by the cost center information if that data is in your system. Or ask your administrator about custom reports.
