Running the Discounts by User report

The Discounts by User report shows every discount that each person in your business has granted on sales documents. This helps you track discount authority, spot unusual patterns, and understand who is using discounts most frequently.

Before you start

• You need permission to view reports. Ask your administrator if you do not see the Reports menu.
• The report includes all invoices, sales receipts, and sales orders with discounts, filtered by date range and user.
• Have your date range and any specific user names ready if you want to filter the report.

Steps

1. Go to Reports Open in Usystems

2. Search for or scroll to Discounts by User report.

3. Click the report name to open the report builder.

4. Set your Date Range (start and end dates). The report will only include discounts granted within this period.

5. (Optional) Filter by User if you want to see discounts from a specific team member only. Leave blank to see all users.

6. (Optional) Select a Document Type (Invoice, Sales Receipt, or Sales Order) to narrow the scope.

7. Click Run Report or Generate to display the results.

The report will load a table with one row per user, showing the total number of discounts, total discount amount, and average discount value.

Accounting impact

Discounts reduce the revenue recognized on a sale. Each discount is tracked against the user who granted it. The underlying sales documents already post to your chart of accounts; this report adds visibility into who controls the discount risk.

Tips & common mistakes

• Narrow by date: very wide date ranges (e.g., several years) may load slowly. Use a specific month or quarter for faster results.
• No discounts yet: if the report shows no data, check that discounts have actually been created on sales documents in your chosen date range.
• User filters: if a user has left the business, they may still appear in the user list with historical discounts. This is normal and helps with audits.
