Q: Why does the report show no results?

A: Check that your date range includes transactions. If you set dates too narrow (e.g., only one day of the month), you may get no results. Try expanding the date range to cover the full month or fiscal period. Also verify that expenses exist in your system for the selected date range by running the report with no filters.

Q: Can I export the report in a format other than PDF or Excel?

A: The standard export options are PDF and Excel/CSV. PDF is best for viewing and printing; Excel is best for further analysis. If you need another format, export to Excel first and then convert in a spreadsheet application.

Q: How often should I run this report?

A: The frequency depends on your business needs. Monthly reviews are common for checking spending against budgets. Weekly or daily reviews may be useful if you manage tight cash flow or monitor for fraud. Quarterly or annual reviews support formal audits.

Q: Does the Expense Detail report include all expense accounts?

A: Yes, unless you filter it. If you don't select specific expense accounts, the report includes all expense accounts in your chart of accounts. If the report appears to be missing a particular account, check that expenses have actually been recorded in that account.

Q: Why does the report show an expense I thought I deleted?

A: Expenses are not truly deleted in accounting systems; they are marked as void or reversed. A reversal shows up as a negative-amount expense. This preserves the audit trail. If you need to see only "active" (non-reversed) expenses, check for filtering or reversal flags in the report options.

Q: Can I compare expenses from two different time periods?

A: The Expense Detail report shows one date range at a time. To compare two periods, run the report twice with different date ranges and use Excel to create a side-by-side comparison. Alternatively, your system may have a Trend or Variance report that compares periods automatically.

Q: Who has permission to view this report?

Q: How do I know if an expense is correctly categorized?

A: Review the account assigned to each expense. Ask: Does the account name match what was spent? For example, "Meals and Entertainment" should be used for restaurant expenses, not for office supplies.
