Reading and interpreting the Expense Summary report

The Expense Summary report is designed to give you a quick overview of how much money you have spent in each expense category during your selected time period. Understanding its structure helps you spot trends, identify problem areas, and make better spending decisions.

What it is

The Expense Summary report is a table that lists every expense category in your chart of accounts and shows the total amount spent in each category during the date range you selected. It does not break down individual transactions; instead, it sums them up by category so you can see the big picture.

How it works in Usystems

Your chart of accounts contains many expense accounts (for example: Rent, Utilities, Travel, Office Supplies). These are grouped into categories for reporting purposes. When you run the Expense Summary report, Usystems adds up all the expenses posted to each category and displays them in a table.

Typical columns you will see:

  • Category Name: The name of the expense account or category (e.g., "Rent," "Office Supplies").
  • Total Amount: The sum of all expenses in that category for your date range.
  • Percentage of Total: What share of your overall spending this category represents (helpful for spotting where the largest expenses are).
  • Count: How many individual expense transactions make up that total (optional, depending on report format).

Why it matters

Reviewing the Expense Summary report regularly helps you:

  • Monitor spending trends: See if expenses are growing or shrinking over time.
  • Spot unusual spikes: If rent is suddenly much higher than usual, you can investigate.
  • Plan budgets: Use historical data to forecast future spending.
  • Identify cost-saving opportunities: Categories with high percentages of total spending are candidates for cost reduction.

Where you see it

You access the Expense Summary report from the Reports menu. It is part of the Expense & Ledger Reports section and usually appears alongside other financial reports like the General Ledger and Trial Balance. Once you generate it, you can view it in the browser, save it as PDF, or export it to Excel for further analysis.
