Running the Expense Summary report

Generate a snapshot of your total expenses across all categories over a chosen period.

The Expense Summary report shows you the total expenses for your business during a selected time period, grouped by expense category. Use this report to understand where your money is being spent and to monitor your spending trends.

Before you start

  • You must have permission to view financial reports (this is granted by default to accounting and admin users).
  • Have a date range in mind (for example, the current month or fiscal quarter).
  • Decide whether you want to include all categories or focus on specific ones.

Steps

  1. Go to Reports → Expense & Ledger Reports. Open in Usystems

  2. Look for the Expense Summary report card and click it.

  3. You will see a form with filter options. Set your date range:

    • Choose a Start Date and End Date for the period you want to analyze.
    • Leave them blank to include all data.
  4. (Optional) Apply filters to narrow your results:

    • Category: Select one or more expense categories to focus on specific spending areas.
    • Department or Cost Center: If your business uses these, select them to see expenses by unit.
    • Status: Filter by posted or draft expenses.
  5. Click Run Report or Generate.

  6. The report will display in the browser. You can now read it, export it, or print it.

Tips & common mistakes

  • Empty results? Check your date range — if no expenses fall within it, the report will be blank. Adjust the start and end dates.
  • Missing categories? Not all expense accounts may appear if there were no transactions in them during your date range.
  • Round numbers: Totals are usually rounded to two decimal places; if you need exact figures, export to Excel.
  • Refreshing data: The report reflects the current state of your accounts. If you just posted an expense, it may take a few seconds to appear.
