After running a Ledger report, you can export it to a file or print it directly.
Before you start
- Run the Ledger report and have the data loaded on screen.
- Decide whether you want to export (save to file) or print directly.
- For export, choose a file format (PDF is recommended for distribution; Excel for further analysis).
Steps to export
-
After the report loads, look for an Export or Download button on the report page.
-
Click it and select your desired format:
- PDF — best for printing, sharing, and archiving
- Excel — for analysis or further manipulation in a spreadsheet
-
The file will download to your computer. Save it to your chosen location.
Steps to print
-
After the report loads, look for a Print button on the page.
-
Click it. Your browser's print dialog will open.
-
Choose your printer and any print settings (page layout, color, etc.).
-
Click Print in the dialog.
Accounting impact
Exporting and printing are read-only actions. They create no new accounting entries.
Tips & common mistakes
- Use PDF for compliance. If you need an audit trail or must file reports, export as PDF to preserve formatting and date.
- Excel for analysis. If you plan to pivot, chart, or analyze the ledger further, export to Excel so you can work with the data in a spreadsheet.
- Large reports may be slow. A full-year ledger for many accounts can take a moment to generate. Be patient.
