FAQ: Ledger Report

Common questions about running, reading, and troubleshooting the Ledger report.

How do I find a specific transaction in the ledger?

Use the Accounts filter to select just the account you're interested in, and set a narrow date range around when the transaction occurred. The resulting ledger will be much shorter and easier to scan.

Why do some accounts not appear in my ledger?

If you filtered by Account Type or selected specific Accounts, accounts outside that filter will not show. Leave the Account filter blank to see all accounts. Also, some accounts may have zero activity in your chosen date range—enable "Show zero-balance accounts" if you want to see them.

What does the running balance mean?

The running balance (or "balance after") column shows the account balance at that exact moment, after each transaction is posted. Use it to verify your math or to track the account's health over time.

Can I compare two date ranges in the ledger?

No, the ledger report shows one date range per run. To compare periods, run the report twice—once for each date range—and review both side by side in separate files or windows.

The ledger doesn't match my bank statement. What should I do?

Start by comparing the ledger's opening balance to your prior period's closing balance. Then check for:

  • Transactions posted in the wrong account
  • Dates that don't align with when the bank cleared the transaction
  • Duplicate or missing entries

If you still can't reconcile, export the ledger to Excel and manually match lines to your bank statement.

Can I edit the ledger directly?

No. The ledger is read-only—it is generated from your invoices, bills, journal entries, and other documents. To change an account balance, you must edit or delete the source document that created the entry.
