Exporting and printing the Balance Sheet report
Download your Balance Sheet as Excel or PDF, or print it directly.
After you generate a Balance Sheet report, you can export it for use in email, spreadsheets, or accounting software, or print it directly. This is especially useful when sharing with accountants, auditors, lenders, or archiving for compliance.
Before you start
- The Balance Sheet must be generated first. Run the Balance Sheet report if you haven't already.
- Have a folder ready if downloading a file.
- For printing, ensure your printer is connected and set up.
Steps to export as Excel

On the Balance Sheet report page, look for the Export or Download button.

Select Excel or Excel (.xlsx).

The file will download to your computer. It will contain all rows and columns visible in the report.

Open it in Microsoft Excel, Google Sheets, or any spreadsheet app to edit, format, or share further.
Steps to export as PDF

On the Balance Sheet report page, look for the Export or Download button.

Select PDF.

Your browser will generate a PDF file ready for download or print.

Choose Save or Print as needed.
Steps to print directly

On the Balance Sheet report page, look for the Print button.

Your browser's print dialog will open. Choose:
- Printer: Select your printer from the list.
- Paper size: Usually Letter (8.5" × 11") or A4 (210 × 297 mm).
- Orientation: Portrait (tall) or Landscape (wide). Landscape is often better for Balance Sheets with many account lines.

Click Print.
Tips & common mistakes
- Orientation matters: If your Balance Sheet is wide, use Landscape mode to avoid cutting off columns.
- Verify the date: Check the report date in the exported file to confirm it matches what you intended.
- File naming: When saving Excel exports, rename them to include the date (e.g., "Balance_Sheet_2026-06-30.xlsx") for easy tracking.
- Archive copies: Keep exported copies for audit trails and regulatory compliance.
- Excel formulas: The exported Excel file contains static values, not live formulas. If you need to recalculate, regenerate the report from Usystems.
