Running the Cash Breakdown report

The Cash Breakdown report shows all cash movement across your accounts, grouped by cash account and transaction type. Use it to verify cash flows, reconcile bank balances, or audit cash handling for a period.

Before you start

  • You need permission to view reports. If you cannot see Reports in the menu, contact your administrator.
  • You should have a date range in mind (e.g., this month, a fiscal year, or a custom range).
  • Optional: know which cash accounts or contact types you want to filter on.

Steps

  1. Go to Reports in the main menu. Open in Usystems

  2. Look for Cash Breakdown in the Financial Statements section and click it.

  3. The report opens with today's date as the default period. Adjust the dates if needed:

    • From Date: click to select the start of your reporting period.
    • To Date: click to select the end date (inclusive).
  4. (Optional) Apply filters to narrow the report:

    • Account: select one or more cash accounts to include.
    • Contact Type: filter by customer, vendor, or employee.
    • Contact: narrow to a specific contact if needed.
  5. Click Generate Report or Run to produce the report.

  6. The report displays in a table below. Each row shows a cash account with its opening balance, all transactions in the period, and closing balance.

Accounting impact

No entries are created by running a report—it is read-only. However, the report reflects all cash-related journal entries already posted to your accounts (receipts, payments, transfers, etc.).

Tips & common mistakes

  • Empty report: If you see no data, check that your date range includes transactions. Try expanding the date range to the entire month.
  • Filtering too narrowly: If you filter by a single contact and see no data, that contact may not have cash transactions in your selected period.
  • Cash vs. bank accounts: The report includes all accounts marked as cash or bank type. If a transaction is missing, verify it was posted to a cash account, not an expense or receivable account.
