Exporting and printing the Profit & Loss report

Download your Profit & Loss statement as Excel or PDF, or print it directly.

After you generate a Profit & Loss report, you can export it to share with your team, accountant, or bank, or print it for records. Exporting in Excel format lets you perform further analysis, create charts, or keep a filing system. PDF export is best for sharing or archiving.

Before you start

  • The Profit & Loss report must be generated first. Run the Profit & Loss report if you haven't already.
  • Have a folder ready if downloading a file.
  • For printing, ensure your printer is connected and set up.

Steps to export as Excel

  1. On the Profit & Loss report page, look for the Export or Download button.

  2. Select Excel or Excel (.xlsx).

  3. The file will download to your computer. It will contain all rows and columns visible in the report.

  4. Open it in Microsoft Excel, Google Sheets, or any spreadsheet app to analyze further, create charts, or share with team members.

Steps to export as PDF

  1. On the Profit & Loss report page, look for the Export or Download button.

  2. Select PDF.

  3. Your browser will generate a PDF file ready for download or print.

  4. Choose Save or Print as needed.

Steps to print directly

  1. On the Profit & Loss report page, look for the Print button.

  2. Your browser's print dialog will open. Choose:

    • Printer: Select your printer from the list.
    • Paper size: Usually Letter (8.5" × 11") or A4 (210 × 297 mm).
    • Orientation: Portrait (tall) or Landscape (wide). Landscape is often better if your P&L has many account lines.
  3. Click Print.

Tips & common mistakes

  • Orientation matters: If your P&L is wide with many account lines, use Landscape mode to avoid cutting off columns.
  • Verify the date range: Check the start and end dates in the exported file to confirm they match your intended period.
  • File naming: When saving Excel exports, rename them to include the period (e.g., "P&L_June_2026.xlsx") for easy tracking.
  • Keep copies for audit: Archive exported P&Ls for tax filing, audit trails, and regulatory compliance.
  • Excel formulas: The exported Excel file contains static values, not live formulas. To recalculate with updated data, regenerate the report from Usystems.
  • Share responsibly: P&Ls contain sensitive financial data. Only share with authorized team members, accountants, or lenders.
