Using column filters
Narrow down lists to show only the records you need using column filters.
What This Does
Column filters let you show only records that match specific criteria. Instead of scanning an invoice list with thousands of entries, you can filter to show just invoices from a particular customer, in a date range, or with a certain status. Filters are more powerful than simple searching.
Before You Start
- You must be logged into Usystems and viewing a list (invoices, contacts, products, etc.).
- Not all columns are filterable—only those with a filter icon.
- Filters are combined with AND logic: if you filter by both a date range and a customer, you'll see only records matching both conditions.
Steps
-
Open any list (e.g., Invoices → Open in Usystems or Contacts → Vendors → Open in Usystems).
-
Look for the filter icon (usually a funnel symbol) in the column header of the column you want to filter by. Hover over the column name to see if a filter option appears.
-
Click the filter icon. A dropdown or input field will appear with filter options for that column. The options depend on the column type:
- Text columns (Name, Code): type a keyword to find matching text
- Date columns: choose a date range or relative dates ("Last 30 days", "This month")
- Status columns: checkboxes to select which statuses to show
- Number columns (Amount, Quantity): choose ranges or specific values
-
Select or enter your filter criteria. For example:
- Filter by Customer Name = "Ahmed Hospital" to see only that customer's invoices
- Filter by Date = "Last 30 days" to see recent invoices
- Filter by Status = "Draft" to see unsent invoices
-
Click Apply or press Enter. The list updates instantly to show only matching records.
-
To see which filters are active, look at the column headers—filtered columns usually show a highlighted filter icon or the filter value inline.
-
To clear a filter, click the filter icon again and select "Clear" or deselect all options, then apply.
-
To clear all filters at once, look for a "Reset filters" button (usually at the top of the list) and click it.
Tips & Common Mistakes
- Can't find a filter for a column? Not all columns are filterable. If there's no filter icon, try sorting by that column instead, or use the basic search.
- Filters reset when I leave the page? Yes, filters are temporary. They don't save when you navigate away. You can bookmark a filtered list in your browser to return to the same view later.
- Combining filters: Use multiple filters together to narrow down results. For example, filter by Status = "Sent" AND Date = "This month" to see only recent sent invoices.
- Performance: On very large lists (thousands of records), applying filters may take a moment. Be patient.
- Comma-separated filters: In some text filters, you can enter multiple values separated by commas (e.g., "customer1, customer2") to match any of them. Check the filter's help text to confirm.
