Exporting and printing the Attendance report

After you have generated the Attendance report with the filters and date range you need, you can export it to Excel, PDF, or print a hard copy for sharing with managers or HR staff.

Before you start

  • Your report must be generated and displayed on screen.
  • You should have export permissions (usually granted to HR managers and supervisors).
  • Confirm your browser allows file downloads.

Steps to export to Excel

  1. On the report page, look for the Export or Download button (usually in the top or bottom toolbar).

  2. Select Export as Excel or Download as .xlsx.

  3. Choose where to save the file on your computer.

  4. The file will download with a name like Attendance_Report_2026-01-01_to_2026-03-31.xlsx.

  5. Open the file in Microsoft Excel or another spreadsheet application to analyze, filter further, or customize formatting.

Steps to export to PDF

  1. On the report page, click Export.

  2. Select Export as PDF or Download as PDF.

  3. Your browser's print preview will open; click Download to save the PDF to your computer.

  4. The file will be named Attendance_Report_[date].pdf.

  5. PDF exports preserve the report's original layout and are ideal for email distribution.

Steps to print directly

  1. On the report page, select the Print option.

  2. Choose your printer from the print dialog.

  3. Adjust page size, orientation, and margins (landscape orientation is often best for wide attendance tables).

  4. Click Print to send the report to your printer.

Tips & common mistakes

  • Always verify your date range and filters before exporting; your recipients will see the results as you generated them.
  • Excel files allow further analysis and sorting; use them for internal HR work and audits.
  • PDF exports are best for final, read-only distribution — they preserve exact formatting regardless of the recipient's software.
  • Large date ranges and full organizations can produce many pages; consider narrowing filters or printing to PDF for archival.
  • After printing, store a copy with your HR records for compliance and reference.
