Running the Bonuses & Deductions report

Generate a summary of all employee bonuses and deductions for a specific period to track variable compensation.

The Bonuses & Deductions report isolates variable payroll components—performance bonuses, attendance deductions, penalties, and voluntary withholdings—separate from base salary. This helps you track and analyze variable compensation independently.

Before you start

  • You must have HR module access and permission to view reports.
  • Know the date range or payroll period you want to review (e.g., Q2 2026, or a specific month).
  • Ensure bonuses and deductions are configured and recorded in your HR system.

Steps

  1. Go to Reports in the main menu.
    Open in Usystems

  2. Find and select Bonuses & Deductions from the reports list.

  3. A form will open with filter options. Select your desired date range:

    • Choose Start Date and End Date, or
    • Select a specific Payroll Cycle if your system uses payroll cycles.
  4. (Optional) Filter by department, employee, or deduction type (e.g., show only bonuses, or only tax deductions).

  5. Click Run Report or View Report.

  6. The report will display in a table showing each bonus or deduction entry: employee name, type (bonus, tax, insurance, penalty), amount, and date.

Accounting impact

Bonuses and deductions typically post to:

  • Payroll Bonus/Incentive Expense (debit) — records the cost of performance bonuses
  • Salary Expense (debit) — if bonuses are paid via payroll
  • Employee Deductions Liability (credit) — tax withholdings, insurance premiums, garnishments
  • Cash/Bank (credit) — when amounts are paid out or withheld

The report itself is a read-only audit record; running it does not create new transactions.

Tips & common mistakes

  • Use this report to identify trends in bonuses (spikes in certain months or departments) and deduction patterns.
  • Compare total bonuses month-to-month to detect unusual awards or anomalies.
  • Always reconcile deductions against employee consents and payroll regulations.
  • Run this report quarterly or semi-annually as part of payroll compliance review.
