Q: What is the difference between the Employee Ledger and the Payroll Payments report?

The Employee Ledger shows a single employee's complete pay history month-by-month, including all salary components and deductions over time. The Payroll Payments report shows a snapshot of all payments made in a selected period (useful for reconciliation). Employee Ledger is personal history; Payroll Payments is organizational summary.

Q: Can I use the Employee Ledger to verify an employee's claim about their pay?

Yes. The ledger shows exactly what was paid each month, including gross, net, and all deductions. You can provide a copy to the employee or use it internally to verify the accuracy of their complaint.

Q: Why are some months missing from an employee's ledger?

An employee's ledger will only display months in which payroll was processed for them. New hires may not appear in earlier months, and employees on unpaid leave or suspended pay will show blank months. This is normal and expected.

Q: Can I export the Employee Ledger to Excel?

Yes. After running the report, click Export and choose Excel format. The file will include all columns and can be edited, sorted, or used to create pivot tables in Excel.

Q: How do I filter the ledger for multiple employees at once?

When you select the Employee field, you can click the field multiple times to add multiple employees, or search for and add them to a list. Some systems allow you to select an entire department or group instead.

Q: Is the Employee Ledger used for tax filing?

The ledger supports tax filing by showing year-to-date gross pay, deductions withheld, and other figures needed for annual tax reports (like 1099 or equivalent). Export the full-year ledger and provide it to your accountant or tax authority.

Q: Can I print the Employee Ledger with colors or special formatting?

Yes. Export to PDF for a formatted, print-ready document, or export to Excel and apply custom formatting before printing. Both retain your organization's branding and column structure.

Q: What if the ledger total does not match what I expected?

Check the following:

  • Date range: Verify the start and end dates match your intended period.
  • Employee selection: Confirm you selected the correct employee.
  • Filters: If you applied a filter (e.g., active only, specific department), it may exclude certain periods or employees.
  • Payment status: Ensure you are including all payment statuses (paid, pending, rejected) if applicable.

Q: Who can access Employee Ledger reports?
