Reading and interpreting the Employee Ledger report
Understand the structure, columns, and insights provided by the Employee Ledger report.
The Employee Ledger report is a month-by-month record of an employee's payroll activity, including salary earned, deductions taken, and net payment received. It serves as a permanent audit trail and supports both employee inquiries and accounting reconciliation.
Report structure
The report displays a table with one row per employee per month. Each row contains:
- Employee Name & Code: The employee's name and unique identifier.
- Month/Period: The payroll period (e.g., January 2026, February 2026).
- Gross Pay: Total earned compensation for the period (salary, bonuses, allowances).
- Deductions by Type: A breakdown of taxes withheld, social security, insurance, and other voluntary deductions.
- Net Pay: The amount the employee actually received (Gross − Deductions).
- Cumulative Gross (YTD): Year-to-date total gross pay to track annual compensation toward limits or tax filing.
- Payment Method: How the payment was made (bank transfer, cash, check).
How it works in Usystems
When you run payroll in Usystems, each employee's compensation is recorded in the HR module. The Employee Ledger pulls all of these records and displays them chronologically for a chosen employee or group. This creates a single, authoritative view of every rupee (or afghani) paid to an employee over time, which is useful for:
- Verifying that the employee received correct payments each month.
- Identifying patterns in deductions or allowances.
- Supporting tax filing and compliance audits.
- Resolving employee disputes or inquiries about pay.
Where you see it
Access the report from Reports → Employee Ledger. Open in Usystems
Use the report to:
- Provide employees with a detailed pay statement for a fiscal year or specific period.
- Audit payroll compliance and ensure deductions match statutory rates.
- Verify year-to-date figures before year-end processing.
- Reconcile employee payments to the general ledger for financial statement accuracy.
