Exporting and printing the Overtime Summary report

Save your report to Excel, PDF, or print it for distribution.

After you have generated the Overtime Summary report with the filters you need, you can export it to Excel, PDF, or print a hard copy for sharing with your team.

Before you start

  • Your report must already be generated and displayed on screen.
  • Ensure you have export permissions (usually granted to HR managers and above).
  • If exporting to Excel, confirm your browser allows file downloads.

Steps to export to Excel

  1. On the report page, look for the Export or Download button (usually near the top or bottom toolbar).

  2. Select Export as Excel or Download as .xlsx.

  3. Choose where to save the file on your computer.

  4. The file will download with a name like Overtime_Summary_2026-01-01_to_2026-03-31.xlsx.

  5. Open the file in Microsoft Excel or another spreadsheet application to review, edit, or share further.

Steps to export to PDF

  1. On the report page, click the Export button.

  2. Select Export as PDF or Download as PDF.

  3. Your browser's print preview will open; click Download to save the PDF.

  4. The file will be named Overtime_Summary_[date].pdf.

Steps to print directly

  1. On the report page, select the Print option.

  2. Choose your printer from the print dialog.

  3. Adjust page size, orientation, and margins as needed (landscape orientation is often best for wide tables).

  4. Click Print to send the report to your printer.

Tips & common mistakes

  • Always verify the date range and filters before exporting; your team will see what you selected.
  • Excel exports preserve all columns and can be further customized in a spreadsheet application.
  • PDF exports are best for read-only sharing; they preserve the exact formatting regardless of the recipient's software.
  • Printing large date ranges may result in many pages; consider narrowing your filters or using a smaller font size.
