Running the Payroll by Employee report
Generate a detailed payroll breakdown by individual employee.
The Payroll by Employee report shows detailed payroll information for each employee, including gross pay, deductions, benefits, and net pay. This report helps you verify individual payroll accuracy, investigate discrepancies, and support employee inquiries about their pay.
Before you start
- You must have HR or admin permissions to access payroll reports.
- Decide on the date range and which employees to include.
- Ensure payroll runs have been processed for the dates you intend to view.
Steps

Go to Reports from the main menu. Open in Usystems

Look for the HR & Payroll Reports section and select Payroll by Employee Report.

Set the Start Date and End Date for the payroll period you want to report.

(Optional) Filter by Department, Employee Name, Employee ID, or Status to narrow the scope.

Click Run Report or Generate.

The report will display in a table with one row per employee. You can scroll through to review each employee's payroll details, or proceed to export.
Accounting impact
The Payroll by Employee report reflects transactions already posted to the general ledger when payroll was processed. It does not create or modify any transactions—it only summarizes existing payroll records.
Tips & common mistakes
- Single employee lookup: To view payroll for one person, use the Employee Name or Employee ID filter to reduce the report to just that employee.
- Date range: Align your start and end dates to complete payroll periods. If you select a partial period, some employees may show zero pay.
- Verify against slips: Cross-check the report totals against individual employee pay slips to confirm accuracy.
- Export for records: Save employee-specific reports as PDFs for personnel files or employee disputes.
- Permissions: If you cannot see the Payroll by Employee report option, check your user role and group permissions with your admin.
