Exporting and printing the Payroll Payments report
Download or print the Payroll Payments report in PDF or Excel format for record-keeping and sharing.

Once you've generated and reviewed the Payroll Payments report, you can export it as a spreadsheet or PDF file for archiving, sharing with accountants, or printing.
Before you start
- Generate the report with your desired filters (date range, employees, department, etc.).
- Decide whether you need PDF (for filing) or Excel (for further analysis).
- Ensure you have the appropriate permissions to export reports.
Steps

From the Payroll Payments report page, review the data and confirm it is correct. Open in Usystems

Look for the Export or Download button, typically at the top right of the report table.

Choose your export format:
- PDF – creates a formatted, printable document with the report title, date range, and all columns.
- Excel – saves the data as a .xlsx file ready for pivot tables, formulas, or further analysis.

The file will download to your default download folder. Name it clearly, e.g.,
Payroll_June_2026.pdf. -
(Optional) To print directly, use your browser's Print option (Ctrl+P or Cmd+P) and choose your printer and paper settings.
Tips & common mistakes
- File naming: Always include the month and year in the filename to avoid confusion when managing multiple payroll exports.
- Sharing with accountants: PDF is best for read-only sharing; Excel is better if they need to perform their own analysis or pivot.
- Check the data before exporting. A poorly filtered report will still export—review totals match your expectations first.
- Password-protect sensitive exports. If you're emailing payroll data, encrypt the file or use a password-protected PDF.
