Reading and interpreting the Payroll Payments report
Understand the structure, columns, and key metrics of the Payroll Payments report.
The Payroll Payments report is a line-by-line summary of each payment disbursed to employees. Understanding its structure helps you reconcile payroll with your accounting records and spot discrepancies quickly.
Report structure
The report displays a table with one row per employee per pay period. Each row contains:
- Employee Name & Code: The name and unique identifier of the employee.
- Pay Period: The month or pay cycle covered by the payment.
- Gross Pay: Total compensation before any deductions (salary + bonuses + allowances).
- Deductions: Total amounts withheld (income tax, social security, insurance, voluntary deductions).
- Net Pay: The amount actually disbursed to the employee (Gross − Deductions).
- Payment Method: How the payment was made (bank transfer, cash, check).
- Payment Date: The date the payment was released.
How it works in Usystems
When you run a payroll cycle, Usystems automatically records each employee's salary in the HR module and, if integrated, posts corresponding expenses and cash movements to the general ledger. The Payroll Payments report aggregates these records, giving you a single view of all money that left your organization as employee compensation.
The report uses the date range you select to filter which payments appear. Payments are grouped by employee, making it easy to spot whether anyone was missed or received an unusual amount.
Where you see it
Access the report from Reports → Payroll Payments. Open in Usystems
Use the report to:
- Reconcile payroll expense to your bank and accounting records.
- Verify that all employees were paid in a given period.
- Audit deduction accuracy before finalizing the accounting period.
- Support payroll audits by regulators or internal compliance teams.
