Exporting and printing the Payroll Transactions report allows you to share data with accountants, auditors, and archives, or to keep an offline copy for your records.

Before you start

  • Have the Payroll Transactions report open and filtered to the data you want to export.
  • Verify that you have the permissions to export and print reports.
  • Choose your export format (Excel, PDF, CSV) based on where you'll use it—Excel for further analysis, PDF for archiving and sharing.

Steps

  1. Open the Payroll Transactions report from Reports → Payroll Transactions.

  2. Apply any filters (date range, employee, department, status) that you want to include in the export.

  3. Click the Export or Download button (usually near the top-right of the report).

  4. Choose your export format:

    • Excel (.xlsx) — for data analysis in spreadsheet software.
    • PDF — for a formatted, printable document.
    • CSV — for import into other systems or databases.
  5. The file will download to your computer. Save it with a meaningful name (e.g., "Payroll-Transactions-Jul-2026.xlsx").

  6. To print instead of download:

    • Click the Print button or press Ctrl+P (Windows) / Cmd+P (Mac).
    • Choose your printer and print settings.
    • Click Print to send to your printer.

Tips & common mistakes

  • Export in Excel if you need to sum, filter, or share the data further—it is the most flexible format.
  • Export in PDF if you're archiving for audit or legal purposes; PDF is tamper-evident and suitable for formal records.
  • Always check the exported file in your spreadsheet or PDF reader to ensure all columns and data came through correctly.
  • Store exports securely, as they contain employee compensation information (sensitive data).
  • Use consistent naming conventions (e.g., ReportName-Month-Year) to keep archives organized.
